Registration and Attendance


What are the registration fees?

The fees for the 2017 HAA Meeting are available on the Registration page.

Am I eligible for the member registration rate?

If you are a current financial member of HSANZ, ANZSBT or THANZ, you are eligible to register using the member rate. You can apply for membership at the same time as registering to also claim the member rate.

Am I eligible for the nurse / scientist / data manager registration rate?

These rates are subsidised to encourage attendance for the nurse, scientist and data manager professionals. All other professionals (corporate, pharmaceutical representatives etc) should register at the physician rate.

What is included in my registration fee?

The full registration fee will include attendance at the full Meeting Program from Sunday 29th October - Wednesday 1 November 2017 as well as tickets to the Welcome Function and Gala Dinner.
One day and Two day registration passes will also be available. 

Are masterclasses included in my registration?

No, masterclasses are an additional cost and take place on Monday and Tuesday evening. Each masterclass is limited to approximately 30 attendees.

How can I reserve a hotel room and what rates are available?

We are pleased to advise we have secured a number of accommodation options available to Meeting attendees, you can book accommodation at delegate rates while completing your registration. Accommodation options are subject to availability and can be viewed here.

How can I register onsite?

If you are unable to register prior to the HAA Meeting, you can register onsite at the Registration Desk. Please note, payment will be required at this time via a credit card or cash (in Australian currency only).

I want to cancel my registration, can I get a refund?

All cancellations must be recieved in writing so please email haa@tcc.co.nz. Cancellation notice recieved prior to 14 September will be eligible for a refund, less a $75 administration fee. Cancellations after this date are non-refundable, however you are able to transfer your registration to another person.  

I only want to attend one session, can I get a session pass?

Individuals wanting to attend one session must register for a one day pass for that day, unregistered attendees will not be allowed access to sessions or other Meeting events.

I am an overseas participant and need a letter of invitation before I can receive my visa. What is the procedure?

Upon full payment of the Meeting registration fees, you request an invitation letter by emailing haa@tcc.co.nz. Invitation letters will not be supplied to unpaid or unregistered participants, and we reserve the right to refuse to provide invitation letters for attendees.  Please note that we do not give any further support or advice about the visa application process. Obtaining a visa remains the sole responsibility of the participant. 

My partner would like to come, but not to the scientific sessions. Is there a partner registration?

No there is no partner registration. However, you will be able to purchase tickets for them to attend the Welcome Function and Gala Dinner.

Will I recieve a Certificate of Attendance?

Yes, a Certificate of Attendance can be requested after the Meeting and will be emailed to you.

What services are available for special needs and requests?

We encourage persons with disabilities to participate in the program and social activities. Please contact haa@tcc.co.nz to request services or other accommodations for any special needs or note these on your registration form. If you have dietary preferences, please be sure to mark those on the space provided on the registration form when you register.

Abstract Submission

When is the abstract submission deadline?

Abstract submission has now closed and we can not accept any late submissions.

Do you accept late breaking abstracts?

No, there is no late breaking abstract submission.

Is there funding to help with travel and registration costs?

There are a number of awards and travel grants available, applications for these awards and grants can be made during the abstract submission process. For more information on the eligibility please click here.

When will I know if my abstract has been accepted?

Authors for submitted abstracts have been advised via email of the outcome of the review. If you have submitted but not recieved your email, please contact us at haa@tcc.co.nz

My abstract has been accepted but I can not attend, what do I do?

The presentation can be delivered by another named author, this author must have been included on the original abstract submission. Please email haa@tcc.co.nz to advise of any change of presenter.

I submitted an abstract but the data has changed or is not available, what do I do?

Please email haa@tcc.co.nz to advise you will need to withdraw or update your abstract. 

When will the abstracts be published?

Abstracts will be made available electronically, via the Meeting website and the app, shortly before the Meeting. 

Invited Speaker and Accepted Abstract Speakers

What are the abstract requirements for Invited Speakers?

All invited speakers are required to submit a short abstract for inclusion in the electronic abstract supplement. Please submit your abstract in word using the abstract template to haa@tcc.co.nz by 31 August 2017.

Is there a powerpoint template I should be using?

No, you can use your own template however please ensure it us formated to a 16:9 ratio.

Where do I take my presentation at the Meeting?

There will be a Speaker Preparation Room available for you to finalise and load your presentation. Please ensure you deliver your presentation to the technicians in the Speaker Preparation Room at least 1 hour prior to your session.The location and opening times for this room will be advised closer to the time of the Meeting.

I have been accepted for an oral or mini oral presentation, what do I need to prepare?

What are the dimensions for the posters?

Each poster is limited in size to 1186 high x 900 wide (millimetres) and portrait orientation is required. Larger posters cannot be accommodated. Poster presenters must email a PDF version of their poster to haa@tcc.co.nz by 29 September for printing. The HAA 2017 Meeting will be printing the posters and you can collect these onsite. You will not be able to bring your own poster. For more information on poster requirements, please click here
